Salon Cancellation Policy: How to Write It and Enforce It

A strong salon cancellation policy is written down, shown at booking, backed by a card on file, and enforced the same way every time. The policy protects your schedule. It cannot work if you bend it for some guests and not others.

Andie Towner at Studio Blush held firm on her cancellation policy. She offered the client alternatives, and the client agreed without a fight.

What the Policy Needs

  • A notice window, stated plainly.

  • The fee, stated plainly.

  • A card on file at booking so the fee can be collected.

  • One sentence on why the policy exists: your time is the product and an empty chair cannot be resold.

Why It Matters at the Front Desk

Productivity is the share of your available time that is booked. Every late cancellation is a 15-minute gap, or a few hours, that cannot be sold again. You pay for every hour you are open whether or not a guest is in the chair. The front desk KPIs post explains the productivity number in full.

How to Enforce It

  1. State the policy when the guest books and again in the confirmation.

  2. When a guest cancels inside the window, say the policy once, calmly, and offer an alternative such as a different day.

  3. Apply it the same way for everyone, including regulars.

  4. Write down any exception, who approved it and why, so it does not become a habit.

Fill the Gap You Cannot Prevent

When a cancellation lands, work the waitlist and call overdue guests. The front desk owns this, and productivity is the number that shows whether it is working. The rest of the leaks are in the front desk mistakes post.
